Free business guide / Contract renewals

Do not let your tech contract renew by surprise.

Use this list before your internet, phone, cloud, IT, cyber, or wireless deal ends. Start early. Know your dates. Keep your choices open.

Start the checklist

Your renewal clock

A simple plan from 180 days to renewal day.

A long runway gives you more power. If your date is close, start at the step that fits today.

180 DAYS

Find the rules

Read the term, notice date, and auto-renew terms. Name one person to lead the work.

120 DAYS

Count what you use

Check sites, users, lines, tools, data, and support needs. Cut old or empty items.

90 DAYS

Check the market

Ask for clear offers. Compare full cost, service, setup, support, and contract terms.

60 DAYS

Pick a path

Stay, ask for a better deal, or switch. Get every promise in the final order.

30 DAYS

Lock the plan

Give notice if needed. Set install dates, tests, backups, and a move plan.

What to collect

Put the key papers in one place.

You do not need a perfect file. Start with what you have.

  • Current contract and all add-ons
  • Three recent bills
  • Renewal email or quote
  • List of sites, users, lines, and tools
  • Open support issues and outages
  • Plans to hire, move, close, or grow

Common traps

Small contract details can cost a lot.

AUTO-RENEW

A missed notice date

Your deal may renew before the end date. Find the notice rule and send notice in the way the contract asks.

LOW FIRST PRICE

A deal that jumps later

Ask for the full cost in year one, year two, and year three. Add setup, tax, hardware, and support.

TOO MUCH

Seats and lines you do not use

Match the bill to real people, sites, devices, and tools. Remove what no one needs.

LONG TERM

A term that is hard to leave

Check the end date, right to cancel, price cap, and fee to leave. Shorter is not always best, but it gives more room.

VAGUE HELP

Support that is not clear

Ask who owns setup and support. Get hours, response times, and fix times in writing.

RUSHED MOVE

A switch with no safe plan

Keep the old service on until the new one works. Plan tests, backups, number moves, and staff training.

Questions to ask

Make each offer easy to compare.

Ask every company the same set of questions. A cheap quote can still be a bad deal.

  • What is the full cost for the full term?
  • What fees are not shown in the base price?
  • When can the price go up?
  • How and when do I give notice?
  • Who runs setup, training, and support?
  • What happens if service goes down?
  • What must I buy, rent, or return?
  • Can the contract change if our needs change?
